04Why We Use Your Information and Our Lawful Bases
We use personal data only where we have a lawful basis under applicable data protection law. The main purposes for this event are set out below.
| Purpose | Examples of data | Lawful basis |
|---|---|---|
| Processing ticket purchases, issuing tickets and managing admission to the event | Name, email, booking and ticket details | Contract |

For general event photography and filming, our legitimate interest is to document AIDUCATION’27, communicate the work of the event, and promote future AIDUCATION events. We consider the reasonable expectations, rights and interests of attendees and provide a clear way to object to being photographed or filmed.
05Photography and Filming at the Event
Photography and filming will take place during AIDUCATION’27. This may include:
- speakers, presentations and panel discussions;
- workshops and event activities;
- conference and exhibition spaces;
- groups of attendees and audience participation; and
- general images of the atmosphere of the event.
Selected images and recordings may be published on Cambridge School of Bucharest and AIDUCATION websites, social media channels, and materials used to report on or promote AIDUCATION and future events.
Attendees will be told about photography and filming during the booking process and through appropriate notices at the event.
06If You Do Not Want to Be Photographed or Filmed
You have the right to object to processing based on legitimate interests where the GDPR gives you that right in your particular circumstances.
If you do not wish to be photographed or filmed, you can contact us before the event at office@cambridgeschool.ro or tell the registration team when you arrive. We will use a practical method to make event photographers aware of attendees who have asked not to be photographed or filmed.
If an image of you is later published on a channel under our control and you would like us to review its continued use, please contact office@cambridgeschool.ro and give us enough information to identify the image. We will consider the request in accordance with applicable data protection law.
Material posted publicly may be copied or shared by third parties. We can act on material on channels we control, but we may not be able to remove independent copies or reposts made by other users.
07Featured Photography, Interviews and Testimonials
General event photography is different from content in which an individual is deliberately made the main subject, such as a posed portrait, recorded interview or testimonial.
Where consent is the appropriate lawful basis for this type of content, we will ask for it separately. Participation will be voluntary, and consent may be withdrawn in accordance with applicable data protection law. Withdrawal does not affect processing that was lawful before consent was withdrawn.
08Children and Young People
If children or young people take part in AIDUCATION’27 activities, their personal data and images will be handled under the School’s separate safeguarding and data protection arrangements. An adult attendee’s acknowledgement of this event privacy notice does not replace any additional consent or other lawful basis that may be required for a child or young person.
10Social Media and International Access
Photographs and video published on public websites or social media may be accessible worldwide. Social media platforms process personal data under their own privacy terms and may process data outside the European Economic Area using the safeguards available under applicable data protection law.
11How Long We Keep Your Information
We keep personal data only for as long as it is needed for the purpose for which it was collected and in line with our retention procedures.
Ticketing, contractual and financial records will be kept for the period required by applicable legal, tax and accounting requirements.
Event photographs and recordings may be retained while they continue to serve a legitimate communications, promotional or archival purpose. Their continued retention and use will be reviewed periodically.
